ChatGPT Setup for Small Business Owners: Plans and Steps

ChatGPT setup for small business owners takes four steps: pick a plan, create a Project for one job, write custom instructions, and check your data settings. As of Oct. 22, 2026, a solo owner can start on Plus at $20 per user per month, billed monthly [1][2]. A team of two or more can use Business, which needs at least 2 seats [5].

ChatGPT setup for small business owners: which plan to pick?

ChatGPT has individual plans (Free, Go, Plus and Pro) and business plans (Business and Enterprise) [1]. OpenAI says Free, Go and Plus are designed for individuals, and Business and Enterprise are for businesses [1]. ChatGPT Team was renamed ChatGPT Business on August 29, 2025 [5].

Free

Free gives you Projects and custom instructions, but with tighter limits: 5 files per project and 3 file uploads per day [6][7][12]. Audio uploads aren't available on Free [12].

Not for: anyone who needs to upload more than 3 files a day or keep more than 5 files in one project [6][12].

Go

Go is $8 per user per month, billed monthly in USD, as of Oct. 22, 2026 [1][3]. The Go card on OpenAI's pricing page says the plan may include ads [1].

Not for: owners who want an ad-free tool, or who need custom instructions longer than 1,500 characters [1][7].

Plus

Plus is $20 per user per month, billed monthly, as of Oct. 22, 2026 [1][2]. OpenAI doesn't offer annual billing or paying for several months in advance on Plus [2]. It raises the custom-instructions limit to 5,000 characters and the project limit to 25 files [6][7].

Not for: a team that shares one login. OpenAI says Plus is designed for individuals [1].

Pro

Pro comes in three tiers, Pro 100, Pro 200 and Pro 500, at $100, $200 or $500 a month in USD, billed monthly only, as of Oct. 22, 2026 [4]. OpenAI doesn't say whether it's per seat or per account. Pro raises the project limit to 40 files [6].

Not for: most owners who only need Projects and custom instructions, since Plus already has both [6][7].

Business

Business Standard seats are $25 per user per month billed monthly, or $20 per user per month billed annually, in USD for most countries, as of Oct. 22, 2026 [5]. Premium seats are $125 per user per month billed monthly, or $100 per user per month billed annually, as of Oct. 22, 2026 [5]. A Business workspace needs at least 2 Standard or Premium seats in total [5]. OpenAI says it won't train on the workspace's data [5]. Nonprofits can get up to 75% off Business through OpenAI for Nonprofits [1].

Not for: a solo owner who would pay for a second seat they don't use, or anyone expecting API access, which a Business subscription doesn't include [5].

Worked cost example: a 2-person office

Here is the math for two people, using OpenAI's listed prices as of Oct. 22, 2026 [1][2][5]:

On these prices, Business billed annually costs the same per month as two Plus plans, but you commit to a year. Business adds a shared workspace that OpenAI says it won't train on [5], and admins who can view, export and delete members' conversations [11]. Two separate Plus plans are individual accounts, and their chats may be used for training until each person turns that off [10]. This example doesn't include taxes.

How do you set up a ChatGPT Project for your business?

A Project keeps related chats, files and instructions together, so ChatGPT can use that context for ongoing work such as writing, research or planning [6]. Projects are included with every qualifying ChatGPT plan, and you can create as many as you like [6]. You can upload at most 10 files at a time [6].

Start with one Project for one repeated job, such as answering customer emails or writing quotes. Our suggestion:

  1. Create a new Project and name it after the job, for example "Customer replies".
  2. Add the files that job needs, such as your price list, service area and common answers. Leave out customer names, addresses and payment details.
  3. Write project instructions (see the example below). OpenAI says project instructions apply only inside that project and override your global custom instructions [6].
  4. Run every chat for that job inside the Project, so the context stays in one place.

You can share a project on every plan; shared projects allow up to 5 files and 5 collaborators on Free, 25 files and 10 collaborators on Plus and Go, and 40 files and 100 collaborators on Pro [6].

Example project instructions (a first assistant)

This is our own example, not OpenAI's wording:

You answer customer emails for a small service business. Use the attached price list and service area only. If a price or date isn't in the files, say a team member will confirm it. Keep replies short, friendly and plain. Never promise a time or a result.

Read every reply before you send it. Treat the Project as a drafting helper, not something that answers customers on its own.

How do you write ChatGPT custom instructions for your business?

Custom instructions let you tell ChatGPT what to consider in every response, and they apply to all your chats [7]. They're available on all plans, with up to 1,500 characters on Free and Go and up to 5,000 characters on Plus, Pro, Business, Enterprise and Edu [7].

Put the things that are true for every chat here: your business type, your town or region, your tone, and words to avoid. Put job-specific rules in a Project instead, because project instructions take priority inside that project [6].

Memory is a separate setting. With Memory on, ChatGPT can remember preferences and details from your chats, and you manage it in Settings > Personalization > Memory [8]. OpenAI says deleted saved memories may stay in its logs for up to 30 days [8].

Can you make a custom GPT on your plan?

As of Oct. 22, 2026, OpenAI says creating new GPTs needs a Business, Enterprise or Edu workspace, where workspace permissions allow it [9]. OpenAI also says it plans to retire custom GPTs in favor of Plugins: for affected Enterprise workspaces, retirement is planned for Dec. 11, 2026, and existing GPTs stay usable until then [9]. OpenAI says other plans are expected to follow the same timeline, but it doesn't give a separate date for them [9]. If you're on a personal plan, use a Project for your first assistant instead.

Which ChatGPT privacy settings should you check first?

On Free, Plus and Pro, your conversations may be used to train OpenAI's models until you turn off "Improve the model for everyone" [10]. On the web, it's in your account menu > Settings > Data controls, and you keep your chat history when you turn it off [10]. OpenAI says it doesn't use Business, Enterprise or Edu data for training by default [6][11].

Two more things to know:

On Business, workspace admins can view, export and delete members' conversations and control how long data is kept [11]. OpenAI says ChatGPT Business has completed a SOC 2 Type 2 audit, and a data processing agreement (DPA, a contract about how a vendor handles your data) is available [11].

Common mistake: uploading files that are too big or too many

OpenAI lists these upload limits:

To avoid hitting these, split a big document into smaller files by topic and keep only current price lists in your Project.
